Employee Kiosk -  Review Leave History Balance

Release Note Details

The Supervisor function in the Employee Kiosk has been further enhanced to nominate what historical information a Supervisor can access for their subordinates through the Kiosk. There is two parts to the security feature:

  1. Nominate which leave applications types are available to Supervisors to view (e.g. Withdrawn, approved etc.)
  2. Nominate against each ‘approver’ job position whether they can see historical information or not, and if they can whether they can only see it for their immediate subordinates, or their subordinates, subordinates.
    Temporary Approvers and Delegations cannot see subordinates, subordinates.

System Option HR/164

A new parameter has been added to HR/164 – Parameter 10 ‘Status – Supervisor View’

Status – Supervisor View:

This is a pipe delimited list of Status Code used to define which leave applications Supervisors will be able to see in the Employee Kiosk when viewing historical leave applications.

  • Default options are: A and R.
  • The options are:
    W      Any request submitted and withdrawn by the employee before or after the approval process via the Kiosk.
             This option also includes any application withdrawn via CHUI.
    P       Any request submitted by an employee waiting to be processed by the Supervisor
    A       Any request submitted by an employee that has been approved by the Supervisor. 
              This option also includes any application amended via CHUI
    R       Any request submitted by an employee that has been rejected by the Supervisor

Job Position Maintenance (GUI & CHUI)

This program has been modified to allow each ‘approver’ position to be configured to enable or disable access to the view historical leave applications function. This is configured by entering a value in the new ‘Review Historical Leave’ field against the Job Position, the Temporary Supervisor and/or each Delegate.

Approver positions are required to have ‘Approve’ or ‘Recommend’ in the Approval Status field.

Valid values for the ‘Review Historical Leave’ field are:

  • Not Applicable                        
    This option will disable the ‘review historical leave’ application functionality for employees associated with this position.
  • Immediate Subordinates        
    This option enables the ‘review historical leave’ application functionality for employees associated with this position. However, they will only be able to see historical leave for the ‘positions’ immediate subordinates.
  • All Subordinates
    This option enables the ‘review historical leave’ application functionality for employees associated with this position. They will be able to see historical leave for their immediate subordinates, as well as their subordinate’s subordinates.

Job Position

Review Historical Leave 

  • This field enables and disables the review of historical leave applications for the employee’s associated with the position being maintained
  • Valid values: Not Applicable, Immediate Subordinates and All Subordinates

Temporary Supervisor

Review Historical Leave   

  • This fields enables and disables the review of historical leave applications for the employee’s associated with the Employee / Position nominated as the temporary approver for the position being maintained.
  • Valid values: Not Applicable, Immediate Subordinates

 

 

Delegates

Review Historical Leave                             

  • This field enables and disables the review of historical leave applications for employee’s associated with a position that is nominated as a delegate for the position being maintained
  • Valid values: Not Applicable, Immediate Subordinates

 

Kiosk – Review Leave History Balance

The ‘Employees Reporting To’ filter will display one or many options depending upon what has been configured against the Job Position for the logged in user.

Job Position

When the ‘Review Historical Leave’ field is set to ‘Immediate Subordinates’ on the Job Position

  • The filter will be restricted to only show ‘Me’
  • The list of employee’s displayed will be only those employees that report directly to the position of the logged in User

When the ‘Review Historical Leave’ field is set to ‘All Subordinates’ on the Job Position

  • The filter will include:
    • ‘Me’ and when selected will display the employee’s that report directly to the position of the logged in User
    • The position of each immediate subordinate defined as an ‘approver’. When any of these options are selected the list of employees will reflect the immediate subordinates of the position selected

Temporary Supervisor

When the logged in User or their position is configured as a temporary approver for any other job position, and the ‘Review Historical Leave’ field is set to ‘Immediate Subordinates’

  • The filter will include each position where they are configured as ‘temporary approver’. When any of these options are selected the list of employees will reflect the immediate subordinates of the position selected.

Delegates

When the logged in User is configured as a delegate for any other job position, and the ‘Review Historical Leave’ field is set to ‘Immediate Subordinates’

  • The filter will include each position where they are configured as ‘delegate’. When any of these options are selected the list of employees will reflect the immediate subordinates of the position selected.

Nominate each leave status code Supervisors can access when they use ‘Review Leave History Balance’

Job Position Maintenance

For each ‘Supervisor’ nominate whether or not they can review historical leave.
