Release Note Details

A new 'Compliance' flag has been added to the Stock Masterfile in Stores Item Maintenance, which allows stock items to be flagged as being under 'Compliance' and, when ST/167 is configured appropriately, will disallow updates to particular fields throughout the ERP. This will ensure that stock items that have to meet previously defined standards are being ordered over similar stock items, which may have an inferior quality or does not meet a specific standard. The use of the 'Compliance' flag is in conjunction with the setting up of System Option ST/167 to control what stock item fields can be amended by users. Amendments to fields that are locked in the system option can only be amended within the Stores Item Maintenance procedure.

If restrictions to editting stock records are not required, this flag may still be utilized to provide site relevant reference to what items may be deemed as on 'Compliance'. This will still be maintained under the Stores Item Maintenance.

Some hardcoded restrictions apply to items flagged under Compliance, which cannot be configured or controlled by ST/167, or any other system option. When a stock item is flagged for Compliance, the following fields are unable to be updated during the Requsition Raising and Order Entry processes:

  • Description
  • Supplier
  • Part No.

Setup Details

The 'Compliance' flag is available under the 'Identification' tab in the Stores Item Maintenance procedure. When set to 'YES GLOBAL', as is in the below screenshot, this indicates the compliance flag has been activated for all sites. The absense of the word 'GLOBAL' will indicate the item has been flagged for compliance, at the specific site. This does not indicate the stock item isn't flagged under 'Compliance' at other sites. Additions have been made to the Stock Master Import and Export, to allow an extra column for a compliance setting. In line with current functionality, importing a list of stock items with no warehouse column will set the Compliance flag value (YES or NO) at the global level, and therefore, any sites with access to the stock item.


System Option ST/167 has been extended to activate/deactivate fields when the new compliance flag is set. The fields include;

  • Compliance (new flag)
  • Category
  • Delivery Action
  • Supplier
  • Supplier Part Number
  • Manufacturer
  • Manufacturer Part Number
  • Lead Time
  • Price
  • Supply by Tender
  • Tender Reference
  • Expiry Date
  • FPA

These new fields have been appended with (Non-compliant only) to identify what each selection regards:

When a Stock Item has the 'Compliance' flag set to YES, and is entered into the system, a warning will be displayed to advise the user that the stock item is under compliance. This will occur in the menu selections outlined above. This warning will appear within Order Entry, Raising a Requisition and Delivery Entry.
